COVID-19 Update

Hello Olson Orthodontics Patients and Families:


We have missed you and hope you are doing well! We are excited to welcome you back to our office, but we need to make you aware of important changes we have made to ensure we do everything we can to keep you, all of our patients, and our staff healthy.  In addition to the standard infection control protocols we follow, we are taking additional measures to comply with and exceed the new requirements of the CDC and the Arizona Dept. of Health Services to protect against COVID-19. 


We appreciate your patience as we need to adjust how we care for everyone who enters our office.  I recognize we all have needed to put things on hold for several weeks and you are likely eager to resume your treatment.  To protect your safety and comply with Arizona and national regulations for healthcare, please understand your appointment experience will look differently in the many ways which I’ve outlined below.  We are required to follow these procedures in order to be able to see patients.  Please take the time to read this information completely so you know what to expect – these changes are to benefit everyone, and we will need to be strict in adhering to the following required processes:


Before Appointments
  • Patients are expected to have brushed immediately prior to their appointments.


    • We will NOT have the brushing sinks open*

  • Patients need to remove elastics before entering the office.


  • Monitor your/the patient’s health – if you are sick, have flu-like symptoms, a fever, a cough or have been in contact with anyone suspected to have COVID-19, please stay home and contact us to reschedule.  Anyone who comes to the office with any symptoms will be asked to leave to protect others.


  • Please use the bathroom prior to your visit to limit the need at the office.

 

Arriving for Appointments & Parking

  • When you arrive, please stay in your car.  We have limited covered parking spaces labeled Suite 400 on the curb – if you park in a covered space not designated for Suite 400 you may be towed and/or fined - covered spaces labeled with the numbers 7, 8 and 9 are reserved for another suite.


  • Text your Patient Name and appointment time to (623) 252-3145, we will check you in and text you back when you we are ready to have you enter.


  • Only the patient that is being treated will be permitted to enter the office with 2 exceptions.  The only exceptions will be for new patient exams and for very young patients 10 and under.  For these young patients, only one parent/caregiver may accompany the patient into the office.  Please do not bring family members/friends as they will be asked to wait outside.


  • Wear a mask/cloth face covering into the office.  Federal and state guidelines encourage facial coverings in areas where social distancing may be difficult.


Once in the Office

  • You will be met at the front door and escorted to your reserved chair by a staff member.


  • All people inside the office will be asked to maintain the 6-ft social distancing guidelines as best as possible.


  • Prior to being seated we will ask you screening questions to assess your recent health and exposure to COVID-19.


  • Your temperature will be taken using a touchless thermometer.  If your temp is over 100 °F, you will be asked to leave and not reschedule till the end of the required 14-day self-quarantine.


  • Anyone accompanying a very young patient will also complete the health screening process and then be asked to wait in the reception area. Only patients will be permitted to stay in the clinic area.


  • We will provide hand sanitizer and then seat you in your reserved treatment chair.


    • Patients will be seated when possible at every other chair to maintain social distancing.


  • The reception area now has limited seating, and all video games, magazines and the cookie/beverage station have been removed to limit contact areas.  No food/drink is permitted in the office with the exception of water.

 

During your Treatment

  • We will try to meet all of your treatment needs during your appointment.  However, patients with multiple broken brackets and patients with poor hygiene and very inflamed gums may not be able to have everything completed to comply with guidelines.


  • Ideally patients will remain seated for the duration of their treatment – remember, the tooth brushing sinks need to be closed till further notice.


  • What we love the most about caring for people is connecting with people and getting to know them; at this time we need to be as efficient as possible and limit our conversations to allow time for new protocols, social distancing and increased disinfection.


After your Treatment/Administrative Steps

  • We will try to schedule all next visits at the treatment chair.  For children and adolescents, before the end of a child’s appointment we will call the accompanying parent to review today’s visit and schedule the next appointment.  If your child has a phone, please have them bring it into the appointment so they can call you to help scheduling.


  • If a parent is unable to be reached to schedule a child/teen’s next visit, we will schedule the next appointment to reserve a spot since we are required to have limited availability.  If the reserved time does not work, please call us as soon as possible to reschedule.

  •  

    For any other administrative needs, such as to get an appointment slip or to make a payment, please see a staff member at the front desk.


Our Team

  • All team members will complete the daily health screening; any team member that develops symptoms will go home to comply with the same procedures we are asking of our patients.


  • Every 30 min we will complete a ‘disinfectant sweep’ of the office by cleaning door handles, desk areas, chairs and bathrooms with hospital-grade disinfectant wipes.


  • We will be wearing masks throughout the office to protect both patients and our team.


It is a pleasure and privilege to care for you, and we have made these changes to provide you the best care we can.  Please understand that it is not possible to maintain social distancing between patients and staff at all times.  Although exposure to any illnesses is unlikely and we are doing all we can to limit the risks, we are all at risk of exposure to illness anytime and anywhere we interact with others, whether it is in our office or elsewhere.  Therefore, while coming to your appointment has inherent risks, we are doing what we can to minimize them out of an abundance of caution and with much care.  As new information becomes available, we will make the appropriate and necessary changes and keep you informed.
